An accounting rule engine to solve persistent account matching problems [French translation provided]

We invite you to follow the series of three webinars we are currently producing on a subject that may seem outdated: account matching. This is not a recent subject since it has always been necessary to know whether invoices were paid (cashed or paid) to know your position. Nevertheless, matching remains a fundamental subject for accounting and its automation. It was the invention of conversational accounts clearing by Gilbert Bitsch on an IBM 421 tabulator in 1962 that opened accounting to computers or computers to accounting.

In fact, most accounting software programs have account matching functions. We can no longer imagine doing this task manually, as it would seem tedious and time-consuming.

But faced with the mass of business events and their complexity, accounting departments have set up strategies for aggregating accounting entries. I have amplified this phenomenon with the deployment of accounting solutions in the Cloud. Under these conditions, account matching becomes much more complicated, if not impossible, to accomplish.

To compensate for this phenomenon, accounting departments are resorting, with varying degrees of success, to sub-ledger accounting or other solutions dedicated to account matching. But the volumes are such that the requirement in terms of automation and reliability is extreme. When a solution fails, the impact is obvious, it’s back to square one: spreadsheet and manual punching, which translates to time, money and errors.

We thought that everything had been said about account clearing, but given the demands of our clients and the limitations they encounter despite the use of dedicated solutions, we felt it was appropriate to deal with this subject from the point of view of accounting interpretation.

Un interpréteur comptable pour résoudre les problèmes persistants de lettrage.  

Nous vous invitons à suivre la série de 3 webinaires que nous produisons actuellement sur un sujet qui peut sembler désuet : le lettrage.

Ce n’est pas un sujet récent, de tout temps il a bien fallu savoir si les factures étaient réglées (encaissées ou payées) pour connaître sa situation. Nonobstant, le lettrage demeure un sujet fondamental pour la comptabilité et de son automatisation.  C’est même l’invention du lettrage conversationnel par Gilbert Bitsch sur une tabulatrice IBM 421 en 1962 qui a ouvert la comptabilité à l’informatique ou l’informatique à la comptabilité. D’ailleurs, la plupart des logiciels de comptabilité sont dotés de fonctions de lettrage. On n’imagine plus réaliser cette tâche de façon manuelle tant elle apparaitrait fastidieuse et chronophage.

Mais face à la masse des évènements métiers et à leur complexité, les directions comptables ont mis en place des stratégies d’agrégation des écritures comptables. Ce phénomène s’est amplifié avec le déploiement des solutions comptables dans le Cloud. Dans ces conditions, le lettrage devient beaucoup plus compliqué à accomplir voire impossible.

Pour pallier ce phénomène, les directions comptables ont recours, avec des fortunes diverses, à des comptabilités auxiliaires ou d’autres solutions dédiées au lettrage. Mais les volumes sont tels que l’exigence en terme d’automatisation et de fiabilité est extrême. Lorsqu’une solution est défaillante, l’impact est évident, c’est retour à la case départ : tableur et pointage manuel, … donc du temps, de l’argent et des erreurs …

Nous pensions que tout avait été dit sur le lettrage, mais aux vues des demandes de nos clients et des limites qu’ils rencontrent malgré le recours à des solutions dédiées, il nous a semblé opportun de traiter ce sujet sous l’angle de l’interprétation comptable.
