Search and Metadata Tagging — Locating and Adding Context to your Content

Syncplicity Search & Tagging

Global data is expected to grow from 33 Zettabytes (ZB) in 2018 to 175ZB by 2025. As data and unstructured content grow within an enterprise, finding that content becomes increasingly difficult without proper metadata and search capabilities. With Syncplicity Search & Tagging, we are helping organizations enable their users with easy access to the files they need to do their job.

Let’s discuss the combined-value of metadata Tagging and Syncplicity Search for enterprise customers. These combined features available in the Syncplicity Web Application make it easy for users to find the content they need quickly. Syncplicity Search & Tagging encompasses file and folder names, along with content within your files.

Filtering down your search is also available within Syncplicity, adding the ability to filter:

  • File type
  • File size
  • Date modified
  • Search Scope
    • current folder and subfolders
    • everywhere
    • current folder only
  • Owner
  • Tags

Many file sharing and content collaboration providers will only display the first 25 or 50 results in your search (ex: 1-25 of 244 results) and require you to advance your search to pages 2-22. Syncplicity’s search allows you to continue scrolling down to quickly display additional results from your search, allowing for a more natural user experience.

For users who frequently search for the same keywords or wish to share results with colleagues, internet browser URL’s can be bookmarked or saved and shared. You can also recall your search by navigating with your browsers “back” and “forward” buttons.

Without metadata tagging, users play a guessing game and access content by relying on very specific and descriptive file and folder names. The process of accessing and sharing content was painstaking. Additional steps and time that must be taken to find content are neither productive nor facilitate collaboration.

The ability to tag files and folders accelerates the process of surfacing content by adding context to your content. Creating tags in Syncplicity is a relatively easy process and is not only helpful during searches, but also helps to provide insights into what a folder or file relates to without clicking into it. With Syncplicity’s metadata tagging for files and folders, users can add a total of 10-, 20-character alpha-numeric tags.

Additionally…

Additionally, integrations with external applications allow extensibility by passing on metadata to integrations and enable them to use Syncplicity as a data-flow and sharing platform.

  • Some items to keep in mind as you begin to use Syncplicity Search & Tagging: Indexed files available for search will include files less than 25 MB in size.
  • Syncplicity will display keywords searched within the first 2,000 characters of an indexed file
  • Search results should be sorted by relevancy
  • Like any other metadata, tags are shared with everyone
  • Tags can only be edited at the time of the creation
  • Users with read-only access can only view tags you’ve added
  • Actions on tags will be displayed in your Syncplicity Activity Feed
  • File and folder audit reports will capture “Tag added” and “Tag removed” events
